Create a Drawing Release

Drawing releases are way of rapidly publishing your drawing sets. Select the drawing issue type, provide a reason for release (this appears on the title block of drawings) and what release items you want included in the drawing release.

Drawing releases go through 2 stages, each with it's own stage gate:

  1. Review - only users with the designer role can submit drawings for review, this submits a set of PDF drawings available on the PDF drawings tab as well as other outputs such as digital twins (available on the digital twin tab) and IFC's, DWG's, LandXML.

  2. Release - this is the final step of a drawing release, once the user with reviewer permissions on the project has reviewed the drawing release the user with releaser permissions on the project can publish a release. This will send notifications the the users defined in the drawing release.

Stage Gates

Stage gates prevent submission of the drawing release until completion of various tasks.

QA stage gate

The QA stage gates check either Review comments (for draft) or review approvals (for publishing). The required QA items are based on the release stage and the layouts included in the release.

Click on the link to navigate to the projects QA page.

Once the QA items are all completed, the submit button becomes available.

PDF Markup stage gate

If there were any comments made on the draft PDF if will block the release. The designer will need to address the comment and save the PDF markup.

Drawing Release Settings

Drawing release settings allow you to include / exclude various items. By disabling release items the drawing release will go through quicker.

Advanced Settings

Advanced settings allow you to make changes to the QA stage gates for the project and apply other settings.

Only users with the 'releaser' role can change the QA stage gate settings.

An alternate logo can be specified for the drawing set.

External Parties

You can choose to share a release with an external party on the project.

Enter their email address, if the user is not already in the allsite.ai system. The project administrator will have to approve the user prior to an email being sent to them to invite them to the project.

Adding Drawings to Release

Select the drawings you would like included in the drawing set here by toggling the selected file.

You can add custom layouts to your drawing release - see "Adding project files" help section. Custom files for your organization appear in the list in page order (with a 'custom' label), custom files from other organizations appear at the bottom of the list (with an 'external' label).

Submitting

Once all QA items have been addressed you can click submit.

Drawing releases take 5-30min depending on the size of the project and number of items selected. A progress bar displays

After a draft drawing release is complete:

  • The reviewer is notified

  • PDF drafts are available at the PDF Drawings -> Review tab

  • Digital Twins are available at the Digital Twin -> Review tab

  • Additional files are stored on Dropbox in the "Reviews" folder for the project.

After a published drawing release:

  • The external parties are notified

  • PDF's are available at the PDF Drawings -> Published tab

  • Digital Twins are available at the Digital Twin -> Published tab

  • The full drawing release is located in the file management tab

Coordination Releases

Coordination releases are a variant of drawing release that does not require stage gate approvals. This allows items such as IFC to be created rapidly by a designer without addressing QA items.
